Financial Controls Policy

This policy sets out how the Foundation aims to manage money, payments, records, donations, and financial oversight responsibly and transparently.

1. Financial responsibility

The Foundation will aim to maintain clear financial records, appropriate approval processes, secure banking arrangements, and responsible use of funds. Financial decisions should support the Foundation’s aims and be capable of explanation and review.

2. Income controls

Donations, sponsorship income, grants, goods-sale income, and other funds should be recorded accurately. Where funds are restricted, the restriction should be documented so funds can be monitored and used appropriately.

3. Spending controls

Expenditure should be properly authorised, supported by invoices or receipts where possible, and recorded in the Foundation’s financial records. Personal expenditure and Foundation expenditure should be kept separate.

4. Banking and payments

Payments should be made through approved methods. Bank details, payment approvals, and financial access should be controlled and reviewed. The Foundation should take reasonable care to reduce fraud, error, and unauthorised payments.

5. Independent financial support

Tax by Sterling Ltd acts as an independent professional partner supporting the Foundation with accounting and advisory matters. Their website is www.taxbysterling.co.uk. The Foundation remains responsible for its own governance decisions, records, and financial conduct.

6. Review and reporting

Financial records should be reviewed periodically, and concerns should be escalated promptly. The Foundation may update this policy as its operations, legal structure, reporting duties, or funding arrangements develop.
